6.4 Managing Notification Rules

Objective

To provide a clear and concise procedure for creating and managing notification rules within the system, ensuring that team members can effectively set up notifications for RFQs (Request for Quotations) and other relevant triggers, thereby enhancing communication and responsiveness

Key Steps

  1. Log In to the System

    • Access the system using your admin credentials

  2. Navigate to Notifications

    • Click on the Notifications menu item to view existing notification rules

  3. Create a New Notification Rule

    • Click on the Create button to initiate a new notification rule

  4. Name the Notification Rule

    • In the provided field, enter a descriptive name for the rule (e.g., "RFQ Notification")

  5. Select Triggers

    • Choose the appropriate triggers for the notification rule. For RFQs, select "RFQ" from the available options. Note that you can select multiple triggers if necessary

  6. Add Recipients

    • Enter the email address of the individuals who should receive notifications

    • Click the Add Recipient button after entering each email address to include them in the notification list

    • Continue adding recipients as needed

  7. Remove Recipients (if necessary)

    • If you need to remove a recipient, click the bin icon next to their email address

  8. Save the Notification Rule

    • Once all details are entered and recipients are added, click the Save button to finalize the notification rule

Cautionary Notes

  • Ensure that the email addresses entered are correct to avoid missed notifications

  • Review the list of recipients before saving to prevent unauthorized individuals from receiving sensitive information

  • Be cautious when selecting triggers; only choose those relevant to the notification rule to minimize unnecessary alerts

Tips for Efficiency

  • Use clear and consistent naming conventions for notification rules to make them easily identifiable

  • Regularly review and update notification rules to ensure they remain relevant and effective

  • Encourage team members to communicate their notification preferences to streamline the setup process
