Objective
To provide a clear and concise step-by-step guide for team members to effectively submit offers in response to Requests for Quotation (RFQs), ensuring accuracy and minimizing errors in the process
Key Steps
Complete Offer Details
Ensure all necessary details are entered into the offer, including the scope of work and inspection/test plan responses
Review Price Matrix
Check if any changes are needed in the price matrix. Make necessary adjustments before proceeding
Save Offer
Save the offer to ensure all entered details are retained. Note that the offer is saved but not yet sent
Choose Next Action
Decide whether to send the offer or delete it:
To Send the Offer:
Click the "Send" button
Confirm that the offer is being sent to the RFQ owner
To Delete the Offer:
Click the "Delete" button if you wish to discard the offer
Confirm Submission
After sending, check the confirmation message indicating that the offer is now sent and will appear in the request table
Review RFQ Details
Click into the specific RFQ from the Requests screen to view details about the submitted offer. Ensure that the status shows as "suggested," indicating it has not yet been accepted or rejected
Revocation Option (if necessary)
If changes are needed after sending, you have the option to revoke the offer. This allows you to start over and submit a new offer
Cautionary Notes
Once the offer is sent, it cannot be edited. Ensure all details are correct before sending
Revoking an offer will require the submission of a new offer, so use this option cautiously
