Objective

To provide a clear and concise step-by-step guide for team members on how to effectively respond to the scope of work and inspection test plan in a Request for Quotation (RFQ), ensuring accuracy and minimizing misunderstandings

Key Steps

  1. Access the RFQ Document:

    • Open the RFQ document where you have already completed the commercial details of the offer

  2. Navigate to Scope of Work:

    • Click on the "Scope of Work" section

    • Optionally, collapse the side panel to maximize viewing space

  3. Respond to Each Item:

    • For each item listed in the scope of work:

      • Select one of the following responses:

        • Confirmed: If you agree with the item as stated

        • Deviation: If you disagree and believe a different approach is necessary

        • Unable: If you cannot perform the task as outlined

  4. Address the Inspection Test Plan:

    • Repeat the same response process for each item in the inspection test plan

    • Ensure to indicate whether you confirm, deviate, or are unable to comply with each QC step

  5. Attach Supporting Files:

    • Go to the "Offer Files" tab

    • Attach any relevant files that support your responses, such as:

      • Evidence for the scope of work or inspection test plan responses

      • Additional commercial terms and conditions

  6. Add Additional Steps (if necessary):

    • If you identify the need for additional testing (e.g., first article test specimens), click to add an item

    • Specify the additional testing required and respond with "Confirmed."

  7. Review Your Offer:

    • Double-check all responses and attached files for accuracy and completeness

  8. Submit Your Offer:

    • Once all items are confirmed, submit your offer to the RFQ owner

Cautionary Notes

  • Ensure that all responses are accurate and reflect the capabilities and agreements of your team

  • Misrepresenting your ability to perform tasks can lead to misunderstandings and damage to professional relationships

  • Always review the RFQ document thoroughly before submitting your offer

Tips for Efficiency

  • Maintain a checklist of common responses to streamline the process for frequently encountered items

  • Keep a folder of standard supporting documents ready for quick attachment to save time

  • Communicate with your team if you are unsure about any specific response to ensure alignment before submission
